Workflow Best Practices
Regular Review Cadence
Daily: Update In Progress items Weekly: Review New items, plan next actions Monthly: Review Completed, analyze patterns
Team Workflow
If working with a team:
- Manager reviews New recommendations
- Assigns items (moves to In Progress)
- Team members update status as they work
- Completed items reviewed in team meetings
Avoiding Status Sprawl
Prevent too many "In Progress" items:
- Limit active items to what's realistic
- Complete before starting new
- Use "New" as a backlog
- Review and dismiss irrelevant items
Tracking Progress
Status Dashboard
The platform shows:
- Count by status
- Completion percentage
- Progress over time
- Team activity
Measuring Completion Rate
Track what percentage of recommendations you complete:
- High completion = recommendations are actionable
- Low completion = may need better prioritization
Correlating to Results
After marking Completed:
- Monitor visibility changes
- Note 2-4 week delay for impact
- Track which completions drove results
When to Dismiss
Legitimate Reasons to Dismiss
- Not relevant: Topic outside your business
- Already done: You already have this content
- Too competitive: Can't realistically win
- Low ROI: Effort exceeds potential value
- Duplicate: Similar to another recommendation
Don't Dismiss Prematurely
Avoid dismissing just because:
- It seems hard (might be worth it)
- You don't understand it (research first)
- It's not urgent (prioritize, don't dismiss)
Dismissal Notes
When dismissing, optionally add a note:
- Why you dismissed
- Alternative approach taken
- Future reconsideration date
Re-Activating Recommendations
Changing from Dismissed/Completed
If circumstances change:
- Find the recommendation
- Change status back to New or In Progress
- Continue working on it
When to Re-Activate
- Dismissed item becomes relevant
- Completed item needs updating
- Strategy shift makes old items valuable
Status and Analytics
What Counts as "Done"?
For reporting purposes:
- Completed = 100% credit
- Dismissed = Tracked but excluded from completion rate
- In Progress = Work in progress
- New = Pending action
Team Performance
Track team metrics:
- Recommendations addressed per week
- Average time in each status
- Completion vs dismissal ratio
